The technology should fit the approved service process rather than creating a second, unexplained set of instructions.

Decide how the office will handle visitors while the change is taking place and when staff will begin using the new process. Keep temporary instructions consistent across reception, counters, and public messages. Ask staff to practice an ordinary arrival and an exception before opening.
