A project may enter service with a short list of agreed exceptions. At a public office, an unfinished label, missing drawing revision, or temporary operating instruction should remain visible until the responsible owner resolves it.

Make the exception specific

Record the item, its effect, the person responsible for correction, and the evidence required to close it. State any approved limitation that users or support teams need to know. Keep acceptance of the overall project distinct from the decision on an individual exception. A general note that 'minor items remain' gives the receiving team very little to act on.

Review closure with the recipient

Set a follow-up point and ask the receiving owner to confirm that the correction is usable. Replace temporary instructions and update the final records where needed. If an item cannot be completed as expected, route the decision through the agreed project process rather than allowing the due date to disappear. Keep the final disposition with the closeout package. Confirm that support staff have received the corrected information before removing a temporary note.

An exception list is a working record, not a ceremonial attachment. Give every remaining item a clear route to correction or an explicitly reviewed decision.
